SHIPPING & DELIVERY POLICY

1. Scope

This Shipping & Delivery Policy applies to all orders placed through B2BKOTSAF, via our website, e-mail, WhatsApp, telephone, sales representatives, or any other officially accepted ordering method.

2. Delivery Areas

KOTSAF delivers throughout Belgium, the Netherlands, Luxembourg, France, Germany, and selected international destinations.

Deliveries outside the European Union may be subject to customs duties, import taxes or other local charges, which remain the sole responsibility of the Buyer.

3. Order Processing

Orders placed on Business Days before 15:00 (3:00 PM CET) are normally processed, packed and dispatched from our warehouse in Belgium on the same Business Day, subject to product availability and successful payment verification where applicable.

Orders placed after 15:00 (3:00 PM CET), on weekends or Belgian public holidays, will normally be processed and dispatched on the next Business Day.

Although KOTSAF makes every reasonable effort to dispatch orders on the same day, this cannot be guaranteed in exceptional circumstances such as unusually high order volumes, inventory discrepancies, technical issues or events beyond our reasonable control.

4. Free Shipping

KOTSAF offers free standard shipping under the following conditions:

  • Belgium: Orders of €100.00 or more (excluding VAT).
  • Netherlands, Luxembourg, France and Germany: Orders of €150.00 or more (excluding VAT).

For orders below these thresholds, shipping charges will be calculated based on the destination, shipment weight, dimensions and selected delivery method.

KOTSAF reserves the right to amend these shipping conditions at any time.

5. Delivery Times

Estimated delivery times are provided for guidance only and may vary depending on:

  • stock availability;
  • carrier performance;
  • customs procedures;
  • public holidays;
  • weather conditions;
  • transport disruptions;
  • force majeure;
  • circumstances beyond KOTSAF's reasonable control.

Estimated delivery dates do not constitute a contractual guarantee.

6. Shipping Costs

Shipping costs are calculated according to:

  • delivery destination;
  • order value;
  • shipment weight;
  • shipment dimensions;
  • selected shipping service.

Applicable shipping charges will always be communicated before dispatch.

7. Shipping Carrier

KOTSAF reserves the right to select the shipping carrier and transport method deemed most suitable for each shipment, unless otherwise agreed in writing.

8. Transfer of Risk

Risk of loss, theft or damage transfers to the Buyer immediately upon delivery of the goods to the agreed delivery address or to the Buyer's appointed carrier.

9. Inspection Upon Delivery

The Buyer must inspect all goods immediately upon receipt.

Any shortage, visible damage, incorrect products or packaging defects must be reported in writing within 48 hours after delivery.

Claims submitted after this period may not be accepted.

10. Delivery Delays

KOTSAF shall not be liable for delays caused by:

  • shipping carriers;
  • customs authorities;
  • government actions;
  • supplier delays;
  • transport disruptions;
  • severe weather conditions;
  • force majeure;
  • any circumstances beyond the reasonable control of KOTSAF.

Delivery delays shall not entitle the Buyer to:

  • cancel the order;
  • refuse payment;
  • claim compensation or damages.

11. Failed or Refused Deliveries

If delivery cannot be completed because:

  • the Buyer refuses the shipment;
  • the Buyer is unavailable;
  • an incorrect or incomplete delivery address was provided;
  • the shipment is returned by the carrier;

KOTSAF reserves the right to charge the Buyer for all additional transportation, storage, return and administrative costs incurred.

12. Incorrect Delivery Information

The Buyer is solely responsible for providing complete and accurate delivery information.

Any costs arising from incorrect, incomplete or outdated delivery details shall be borne by the Buyer.

13. Force Majeure

KOTSAF shall not be liable for any delay or failure to fulfil its obligations where such delay or failure results from circumstances beyond its reasonable control, including but not limited to natural disasters, strikes, pandemics, war, governmental restrictions, cyber-attacks, transport disruptions or shortages of raw materials.
